Routing follows your organisation, and it takes the season into account: the qualification and the insurance to the operations manager, alone; the name lists to reception; the rate difference to whoever runs the website. What stays with operations, and why: cancelling a session, changing a rota, changing a price. All three touch visitors who have booked and instructors who have organised themselves — they are decisions, they carry a name, and they go out the minute you take them.

What your conditions say, and I give her: the Adventure course is open from age 8, with a minimum height of 1.35 m, and 1.60 m with arms raised. Her son is 7: the Adventure course is not open to him.
What I offer instead, in the same message: the Discovery course, from age 6, with 9 places still free in the same slot. She leaves with a solution, not a refusal.
What I do not write: that he might move up to Adventure "if his height allows". Measuring happens at reception, by your team — announcing it as possible in writing creates an expectation an instructor will have to deny in front of the child.

What Saturday carries: 62 bookings, 214 people, including 3 school groups and 11 bookings made less than 48 hours ago.
What your policy says, and I quote it rather than summarise it: free rescheduling up to 24 hours before; and when it is the operator that closes, the customer chooses between a full refund and a credit note valid for eighteen months. It is the second branch that applies here — the storm is forecast for 14.00, so less than 24 hours away: it is no longer for the customer to take the step, it is for you to offer it.
What Sunday can absorb, slot by slot: three free rotations, 148 places — enough to move 41 bookings, that is 142 people, to the time closest to the one they had booked. The 3 school groups are not among them: a coach and its supervisors do not move in twenty-four hours, and I took them out of the automatic offer so that you call them.
What is ready: the 62 messages, each with the Sunday slot that matches its own, the exact sentence of your policy, and the two other choices open in one click. Nothing goes out without you — a rescheduling announced and then belied by a clear spell costs more than the storm.

· 13 bookings — 46 people — took another slot within the fortnight, chosen by them from the list the message carried.
· 6 bookings — 19 people — took the eighteen-month credit note. The money stays with you, and it comes back with company: a credit note is rarely spent alone.
· 2 bookings — 7 people — asked for a refund, paid the next day without their having to chase it.
What that gives on the day's takings: of €4,494 booked, €4,347 stay with you — including €399 in credit notes to be spent within eighteen months — and €147 are refunded. A day closed for a storm used to cost the whole day, because nobody had the time to call sixty-two bookings on a Friday evening.
The figure that does not flatter me: on the first episode, I offered the rescheduling on the 6.00 bulletin alone. By 11.00 the forecast had moved back three hours, and 8 of the 62 bookings could have been held on Saturday in the late afternoon — eight groups moved for nothing. I was relying on a single reading. I now compare the 6.00 and the 10.00 readings, and I only offer the rescheduling on the second; over the three following episodes, no rescheduling offered wrongly, and the message still goes out twenty hours before the slot.
The next step I propose: that the three lines of your cancellation policy appear in the booking confirmation, in place of the link to the general terms.
