Why AI matters to training providers — and why they hesitate

What the certificate must carry — article L6353-1 of the French labour code, which I quote because it is short: the objectives, the nature and duration of the action, and the results of the assessment of learning.
· 11 learners: all four elements are in your data. Certificates generated, ready to sign.
· 3 learners: no assessment result has been recorded. Two were absent from the final test; the third sat it and the mark was never entered.
What I have prepared for those three: for the two absentees, the resit notice, dated on your next examination slot; for the third, the paper found in the session file, mark included — only the entry is missing, and the line is set out, ready to approve.
Why the result cannot be inferred from the session average: it is the result that makes the certificate, and the article says so in terms. A missing result is dealt with — resit, note of absence — and all three treatments are written. Three approvals from you, and the three certificates go out with the eleven.

Routing follows your organisation: the certificates to registry; the audit to management and the quality lead, because the certification body's lead time is not within your control; the trainer contract to administration, and to the trainer — they are the one waiting to be paid; the surveys to the quality lead.

What I handle and send on my own, because the answer is written down somewhere and I quote it:
· 386 on dates and places available — the session calendar governs, and the answer carries the time it was read;
· 281 on prerequisites and course content — extract from the programme in force, reference and date included;
· 214 on platform access — username resent, reset procedure, technical contact if access stays blocked;
· 160 on paperwork — completion certificate, training agreement, attendance sheet, paid invoice.
The other 243 are drafted and waiting for your approval, and they always fall in the same families: funding to be confirmed with a funder, a price off the published scale, a request for adjustments for a learner with a disability, a complaint. Each arrives written, with the source to be checked highlighted and the exact question still open — you approve or you correct, you do not rewrite.
First-response time: 6 minutes on average across the 1,041, against 1 day and 4 hours before. For a prospect comparing three providers, that is the only figure that decides.
A measure that does not suit me: 31 of the 1,041 answers had to be corrected by your team, or 3%. Twenty-four concerned places available: I was reading the published calendar and not the enrolments still being validated, so two sessions were announced as open when they were full. The reading now crosses both; two corrections across the following 402 answers, and the two learners concerned were called back the same day with a later session.

Three points to settle before filing:
· Two trainees fall under a different funder from the other ten — their employer changed operator in June. Two files, not one: both are built.
· One trainer's CV dates from 2022 and omits the certification they have gained since. Funders do look at that — the updated CV is drafted, awaiting their own review.
· The price in the file does not match your catalogue: €1,480 against €1,620. The gap comes from a discount granted by email in July, recorded nowhere else.
What I reconstructed on that price: the July email, its author, its date and the exact sentence granting the discount, set against the catalogue version in force that day. Both bind the provider — a written discount as much as a catalogue — and that is precisely why the choice is signed for.

Funding criteria vary from one operator to another, from one branch to another, and they change during the year. A provider who relies on what it thinks it knows files an application that comes back six weeks later, when the session has already run.
What I can establish, and it is useful: this course has been funded three times by this same funder — in 2024 and twice in 2025 — under the same title and for identical content. All three approvals are in your files, with their dates.
What that does not prove: that the criteria have not moved since the last one, which dates from November.
What I have prepared: a confirmation request to the funder, citing the three earlier approvals. It gets answered in a few days, and it beats filing blind.
And an observation beyond this file: of your 34 filings last year, seven came back on a formal point — five times a missing document, twice a price inconsistent with the catalogue. What is complete: detailed programmes for all 18 sessions, attendance sheets, signed agreements, trainer CVs and competence certificates, minutes of both annual reviews.
Three gaps, and they are not equivalent:
· The satisfaction surveys: the response rate has fallen to 31% since June. The responses exist, they are simply too few to be representative — and you will not be able to hide it, since the figure sits in the tool.
· The certificates for the 14 learners from the June session, eleven of which are generated this morning.
· One unsigned trainer contract across three sessions.
What I do not recite, and what I do instead: no indicator from memory — they change, and a provider preparing against a stale version prepares badly. I work from the framework in the version you supplied me, and I file each piece of evidence under the indicator it serves, with its date and its origin. The result comes down to one sentence: everything is covered except three indicators, half-documented — the three gaps above, named rather than guessed.

What I found looking for the cause: the fall dates from 02/06, the day the sending tool changed. Since then, the surveys go out from a sender address that is not on your domain. Of 214 sends, 63 were never opened and 11 were reported as spam.
What that changes: this is not learner indifference, it is a deliverability problem. Chasing from the same sender would recreate the same problem.
What I have prepared for the fix: the list of the 63 unopened, the 11 spam reports, the sender address in use since 02/06 and the one used before, and the written question for your sending provider — four lines, naming the record to publish on your domain so your messages are recognised.
Why your administrator is the one who applies it: the setting touches the whole domain, so your agreements and invoices as much as your surveys. Ten minutes of their time, and they know what they are changing.
And a proposal, if you approve it: chase the June and July learners once, after the fix and not before. On the rates you saw before June, that would bring the overall figure back above 60%. Two versions of the programme are in circulation:
· Version 4, of 12/03/2026, the one actually delivered: the "pivot tables" module went from 7 h to 4 h, and a 3-hour "simple automation" module was added.
· Version 3, of 08/09/2025, still on your website and sent to this learner on 14/05 with their agreement.
What they signed therefore states 7 h for a module that ran 4.
What I can add: the total duration is identical, and the added module appears on their attendance sheet, which they signed each half-day.
What I do not say: whether their complaint is well founded. That judgement mixes the contract, what was attended, and what the provider wants of the relationship.

Your catalogue holds 27 programmes. Nine exist in two versions, with the older one still reachable somewhere:

Two of them have different durations between versions — the most exposed case, because a duration appears in the funding.
