Farming is first and foremost in the field and in the barn. Yet declarations, registers, compliance and grant applications absorb a growing amount of time — on data (parcels, finances, livestock) that is among the most strategic the farm holds.

· Three animal movements have no notification receipt on file. I can see them on your collection notes and in your livestock register; I cannot find the receipt from the identification body that closes them. The oldest is dated 22/07: if it is still to be notified, the seven-day window is nine days past. If you have already notified them from the portal without filing the receipt, tell me and I close all three.
· A plant-protection product invoice dated 04/08 has no matching entry in the register. Either the treatment did not happen, or it was not written down.
· Your sprayer's statutory inspection falls due in 34 days. The nearest centre is booked up to mid-October.

The three are not in the same situation, and that is what matters:
· Two are movements out to the same buyer, with the collection note on file. Everything is there: dates, tag numbers, destination. Ready to approve.
· The third is a movement in dated 22/07, and its accompanying document is missing. I do not invent it: without it, I know neither the exact origin nor the declared health status.
On the deadline I say what I can see and no more: none of the three has a receipt on file. If one was notified from the portal, it is in order and I close it without asking you for anything else. For those that remain, notifying now does not erase the delay, it stops the clock. That point heads the note, because discovering it during an inspection would be worse than reading it today.

On a farm the routing is shorter than elsewhere, and I do not pretend otherwise: it all comes back to you. What I can do is not send it all at once. Statutory deadlines in the morning, the rest on Friday. And where your accountant or your adviser has access to a subject, the flag goes to them directly — copied to you, never instead of you.
With a chase: 24 h on anything out of time, 7 days on the rest. And a monthly summary: what was flagged, what was done, what is still running. That is the document you produce on inspection day to show nothing was discovered on the day itself.

Filing the declaration stays your signature, because it carries your number. Everything else can be mandated: a written, capped, dated mandate that you withdraw on a word, and I book the inspection appointment, chase the insurer and file the documents into the grant application within minutes. Farm social-security income return: I have carried over the result for the closed year, the contributions already called in, the three-year average and the annual base. Difference between the two bases: €3,180 of contributions over the year — the annual base is in your favour this time, the reverse was true last year. The calculation is set out line by line; the option is approved with your centre, because it cannot be judged on a single year.
VAT: you fall under the simplified agricultural scheme, annual return. Across the 31 product invoices and the 14 equipment invoices for the quarter, deductible VAT is matched item by item: €4,812 recoverable, of which €1,260 on equipment. Two invoices fail the match: one does not carry your intra-Community VAT number, the other is a deposit with no final invoice. Both correction requests are written and waiting to be sent.
What makes farm accounting particular, and what I keep separate: fodder and livestock valued at year end, crop advances, grants attached to the year they are notified in. Those four items are costed and left pending: they are discussed with your accounting centre, whose job it is to check and approve the whole.
The gain, measured at your farm: 41 hours of accounting and filing preparation last year, 12 hours this year. 29 hours returned, a little under one working week — rounded down, a week counting 35 hours.

Three kinds of gap, and they do not call for the same thing:
· 7 operations with no exact field named — "bottom of the Combe" appears seven times, and your records hold three parcels under that name. It is not serious, it is unreadable; on inspection, unreadable is treated as absent.
· 2 treatments recorded after the date of the matching purchase invoice. One is a day out, the other eleven. The first is a typing error; the second, I do not know.
· 1 product invoiced on 04/08 with no entry at all.

I pre-fill none of those four, not even the ones I could approximate — the invoice gives a quantity purchased, not a dose applied, and confusing the two would manufacture an entry that is plausible and false.
A point of method, since it holds for the future: an entry made after the event remains a valid entry, provided it is truthful. What is not truthful is an entry reconstructed from an invoice.
A proposal, if you approve it: with every product invoice, a blank entry form opens in your name, with the product reference and purchase date already filled. You are reminded after 48 h if it is still blank, and it appears in the monthly summary for as long as it stays that way.

· 112 are complete: collection or delivery note, entry in the livestock register, notification within seven days, receipt from the identification database on file.
· 4 notifications went out between day 8 and day 11. They are recorded, but they surface as an anomaly the moment an inspector compares the movement date with the receipt date.
· 2 calves born in March carry no identification number in your register, although the BDNI holds them: it is your register that lags behind the database, not the reverse.
What is already prepared: six correction sheets, written in the order an inspector will read them — the two calves first, because an animal with no number in the register is the gap that shows up first. Each one carries the animal's national number, the movement date, the unit concerned and the document that supports it. You check, you notify.
A measure that does not flatter me: on the first pass I had found only four gaps. The two calves escaped me because I was matching movements, and a birth is not a movement. I widened the matching to births and deaths: the same rule turns up 3 more gaps over the previous twelve months, all before 2025. The traceability completeness check now runs every Monday and any overrun of the deadline is flagged to you the same day.

What you are asking is a veterinary act. It does not turn on anything I could read in your registers, but on what a vet observes on the animals.
Two things I can say, and they are in your data:
· The antibiotic you mention was prescribed on 12/03 for two named animals, neither of which is among today's three.
· The withdrawal period for that product is 28 days for milk, and you deliver every other day. That is a management fact, not a treatment opinion — and it would hit your collection immediately.

The risk is not theoretical, it is on collection: a non-conformity on a bulk tank costs far more than three animals.
What I can usefully do, right now: your vet offers a same-day remote consultation for urgent cases in their area — it is written into the herd health plan you signed in January, page 2. I have pulled the page.
And one observation, because it goes beyond today: this is the third time this year a treatment has been considered off leftover prescriptions. I can keep the inventory of your medicine cabinet — product, animals named on the prescription, expiry date, withdrawal periods — and flag what will expire before it is used.
An inventory prescribes nothing. It only makes visible what is left, and who it was prescribed for.

What I can establish: the quote is dated 18/07, it carries your signature, it shows no deposit and no priced acceptance, and no payment has left. Those four facts are what the case officer will look at — I gather them, I do not interpret them.
